Day of Coordination Versus Wedding Planner at Trellis 925

What is the difference between Day of Coordination and Wedding Planning with your venue?

This is a question we get a lot when couples start comparing our Platinum package with our Premium Package. With the Platinum package, you get both a Wedding Planner and a Day of Coordinator while with the Premium package you get just the Day of Coordinator. 

So what’s the difference? First, let’s start off with what each of the different roles are. 

Wedding Planner Role

The Wedding Planner’s job description is to help make your planning process as smooth as possible and to make sure that you are contracted with vendors for each of your contracted services. 

With the platinum package you get: an officiant; photographer for 6 hours florist with 3 bouquets, 5 boutonnieres, 2 corsages and cake flowers; 3 tiered buttercream cake; caterer and venue. The wedding planner is there to make sure that you are contracted with our partnered vendors that are available for your date. We have a variety of partnered vendors for each vendor category so choosing the vendors is based on availability of the vendor as well as the couples personal preference. We try our best to make sure that every couple is matched with vendors that work best for them and are constantly adding more vendor options to our package.

Once the wedding planner has matched the couple with each vendor type, they help make sure that all the correct paperwork is filed for each vendor and help to make the contract process easier. 

As a part of the wedding planning process, they are there for you the entire way and will help answer any wedding related questions that you may have and not just venue related questions. Each of our wedding planners has years of experience planning weddings and has at least 25 weddings at Trellis 925 under their belt specifically. So they are a knowledgeable asset for you and your wedding. 

Another part of the job description for the wedding planner, is to provide you with helpful decor and design options with the venue. Depending on what style or feelling you are looking to produce for your wedding, they will help you to create the perfect vision in our space! This typically happens during the design meeting that they schedule with you.

Day of Coordinator Role

The Day of Coordinator is responsible for creating the day of timeline, layout for ceremony and reception and for setting up and breaking down your personal table decor. Typically you are assigned your Day of Coordinator 1-2 months prior to your wedding day to schedule a time to discuss your timeline, layout and decor. 

If the rehearsal is included, they will also be there to help walk you through the processional and recessional. They are there with you throughout the event to make sure that you stay on track timewise and to answer any questions your vendors, guests or you have throughout the night. Should there be any issues (either venue related or event related) they are there throughout your event to make sure they are handled.

So what’s the difference between the Wedding Planner and the Day of Coordinator?

Basically, the wedding planner is there for you throughout the planning process and securing your vendors while the Day of Coordinator is there for you on the wedding day. 

Will my Wedding Planner be my Day of Coordinator?

Maybe. We like to have the Wedding Planners be the Day of Coordinators since they are most knowledgeable about the wedding and couple. However, due to the schedule of events, it may not always be possible. If the wedding planner is not available for your date, they will schedule an offboarding meeting with you and the scheduled Day of Coordinator to go through all of the logistics and details for your wedding day. This will allow you to meet with the Day of Coordinator prior to your wedding day and make sure that all details of the wedding day are covered.
